BASIC FUNCTION: Responsible for the day-to-day Administrative Operations of the Atlanta office.
MAJOR DUTIES AND RESPONSIBILITIES:
- Oversees the management of the Atlanta office.
- Interacts and coordinates with the Executive Director, the Managing Partner, attorneys and senior staff regarding various strategic planning projects.
- Develops and implements workflow measures to enable the regular evaluation of the quality and cost of services.
- Oversees staff members’ performance through annual conferences and weekly staff meetings.
- Recommends salary ranges based on position requirements and market conditions.
- Submits written, annual performance reviews for each employee in the Atlanta office.
- Develops, recommends, manages and justifies operating and capital annual budgets for the Atlanta office based on market data and expenditure surveys.
- Assures compliance with contracts, agreements and special arrangements with vendors and consultants.
- Assures compliance with EEOC and all other Federal and State mandates.
- Prepares goals and objectives for the department and holds members of the department accountable for setting and accomplishing said goals.
- Recruits, hires, trains, orients, and evaluates all temporary and full-time administrative staff.Implements Firm-wide personnel policies and procedures, and develops and implements locally-relevant personnel policies and procedures.
- Develops and communicates the office disaster recovery plan.
- Manages all Atlanta office facilities including, but not limited to, timekeeping and billing, staff attendance records, petty cash operations and emergency check requests.
- Coordinates general office services (e.g., mail, facsimile, photocopy, secretarial work flow, and office events) and information services.
- Maintains effective relationships with senior administrative staff in the Chicago office to contribute to and achieve the overall objectives of the Firm.
- Provides basic word processing, timekeeping, document management and groupware software troubleshooting as needed.
- Renders back-up assistance for all administrative positions within the Atlanta office.
COMMENTS: An undergraduate degree and three-plus years office management experience required, preferably in a legal environment. Professional demeanor imperative. Proven interpersonal, organizational, communication and management skills essential. Must have the ability to change priorities, develop alternative solutions, and lead by example. Strong knowledge of the operation of computer hardware and software systems in a network environment required. Must possess the ability to prioritize work flow, exercise independent judgment, work well within a team environment and communicate effectively by telephone and in person. This position presumes availability for overtime during peak periods.
