BASIC FUNCTION: Provides clerical and administrative support to the Attorneys and Paralegals in the Construction Group. Supports client needs by retaining confidentiality of all client matters.
MAJOR DUTIES AND RESPONSIBILITIES:
- Attends and takes notes at project meetings and provides summaries of meetings to team.
- Monitors and analyzes data regarding construction progress and drafts reports on findings.
- Analyzes cost and schedule data, providing recommendations and advice; drafts status reports.
- Works with governmental agencies to monitor budgets and schedule on-going work.
- Utilizes MS Word to prepare Firm standard memos, letters, lists and other documents as required.
- Assists in the maintenance of all client and general files (electronic and paper).
- Collects, organizes and reviews documents.
- Performs coding and indexing for assigned matter documents using established formats and procedures.
- Utilizes direct time and billing system to submit billed hours to accounting.
- Other duties and projects as assigned
COMMENTS: Three to five years experience (project management, construction) along with a project management, engineering, scheduling or business degree is required (Masters Degree preferred). The ideal candidate will have several years of experience in utility construction project management and have experience with implementing and using project controls. The candidate should have a firm understanding of earned value and other project controls metrics including CPI, SPI, schedule adherence, budgeting and cash flow. The candidate should have exposure and experience with Excel, Access, and large main frame accounting software, such as People Soft and Prime Vera P3 or P5. The candidate should also have strong writing skills and previous experience drafting project status reports. Individual must possess a desire to work in a legal environment, moderate typing ability (35 wpm), familiarity with standard office equipment (photocopy and facsimile) as well as computer experience within a network environment (MS Word, Excel, Access). The ability to adjust to changing priorities and maintain flexibility toward individual’s schedule is required. Individual will possess the ability to follow both oral and written instructions, to communicate with a diverse group of attorneys, paralegals, administrative staff and board of director’s ad the client level. Must maintain attention to detail. The capacity to work with limited supervision and maintain multiple long term projects is required. The ability to visually verify the accuracy of completed work, retrieve, lift and transport files, documents and office supplies throughout the office is essential. Overtime including weekends is required. Travel to client sites is required.
